The team
The Corporate Legal Operations team (“CLO team”) is a vibrant group of 5 paralegals and 5 functional application managers/project management support colleagues. We thrive in a highly dynamic, international and challenging environment, collaborating with various departments across all levels and geographies. Our team is responsible for procedural legal activities, corporate housekeeping, program management support, and managing several legal applications. Collaboration is at the heart of what we do, and we are always seeking opportunities to enhance our processes and way of working. If you are looking to be part of a team that values continuous improvement and teamwork, we would love to hear from you!
Responsibilities
• Support the implementation of a new legal entity management system: contribute to the successful rollout of the new application by supporting planning, configuration, testing, data migration and user adoption activities.
• Perform user acceptance testing: prepare, execute and document test scenarios to verify that the application meets business requirements and works effectively for end users.
• Support issue application configuration: help translate business needs into practical application settings, workflows and user roles, in close cooperation with the project team, tech team and the software vendor.
• Validate data conversion and data quality: assess whether data from the current system has been transferred accurately and completely, identify issues and support follow-up actions to improve data quality.
• Prepare training: organise training sessions to help colleagues understand how to use the application effectively in their daily work.
• Set up user support: Ensure that colleagues are guided and assisted with questions, experience resolution and follow-up on issues and have access to the correct and up-to-date supporting materials.
• Facilitate IT risk and control activities: support relevant IT risk assessments, documentation and control-related activities to ensure the application is implemented in line with applicable requirements.
• Collaborate with key stakeholders: work closely with the project manager, subject matter experts, tech team, end users and the software vendor to keep activities aligned and ensure a smooth implementation.
• Support other change initiatives: assess, test and implement new features in iManage and improve functionality of a board meetings application.
We are looking for someone with the following mindset and approach:
• Collaborative team player: you actively contribute to a positive team spirit, helping others to be successful, taking it on and making it happen and always be one step ahead. You share knowledge, seek input from others and build effective working relationships.
• Accountability and initiative: you take initiative, follow through on commitments and know how to prioritise in a dynamic environment where not everything is fully defined.
• Structured and analytical mindset: you are able to analyse information, identify key issues and translate complexity into clear actions. You work in an organized and transparent way.
• Hands-on, practical and solution-oriented approach: you think creatively, involve the right colleagues and focus on workable solutions that support the needs of the team and end users.
• Flexible, adaptive and execution-focused: you adapt easily to new systems, processes and ways of working, and take a practical approach to getting things done.
